This guide walks you through setting up and managing the CyberHoot–Gradient MSP integration using the CyberHoot Autopilot Platform. Once connected, CyberHoot creates each of your tenants as an account in Gradient’s Synthesize billing platform and pushes the number of users receiving training and phish testing every night, so your monthly billing reconciliation happens automatically.
What the integration does:
- Tenants: every active tenant in your CyberHoot partner platform is created as an account in Gradient MSP. New tenants you add later are created automatically at the next sync.
- User counts: the number of users in each tenant is sent to Gradient MSP as that account’s unit count, so Synthesize can reconcile it against the quantity on your PSA agreement.
- Schedule: synchronization runs automatically once a day, around 12:30am in your deployment’s time zone. You can also run it on demand with Sync Now.
- What Gradient sees: your MSP name, the names of the tenants enabled in CyberHoot, and each tenant’s user count. Nothing else is shared, and nothing is read back into CyberHoot from Gradient.
1. Get your Partner API key from Gradient MSP:
CyberHoot needs the Partner API key that Synthesize generates when you connect the CyberHoot integration on the Gradient side.
- Sign in to Gradient MSP Synthesize and open the Integrations tab.
- Find CyberHoot in the list of vendor integrations and click Connect.
- Synthesize generates a Partner API Key for the integration. Copy it and store it somewhere safe; it is only shown once.
2. Connect to CyberHoot on Autopilot:
- On the CyberHoot Autopilot platform, navigate to Partner Dashboard > Integrations.
- Select Gradient MSP and click “Get Started”.
- Paste the Partner API key from step 1 into the API Key field.
- Click “Connect to Gradient MSP”. CyberHoot activates the integration in Gradient before saving the key; the page reloads and shows the sync controls.
Note: If the connection fails, make sure the key was copied in full without leading or trailing spaces, and that the CyberHoot integration shows as connected in Synthesize.
3. Sync tenants and map them in Gradient MSP:
- Click “Sync Now”. CyberHoot creates an account in Gradient MSP for every active tenant and sends each tenant’s current user count. The Sync Log shows how many accounts were added and how many user counts were updated.
- Back in Synthesize, open the CyberHoot integration and map accounts: drag each PSA client on the left onto the matching CyberHoot tenant on the right. Accounts with identical names are matched automatically; use the filter or search box for the rest.
- Click Next and map services: align the CyberHoot product or agreement line from your PSA with the CyberHoot service, then click Next and Finish.
- Return to Synthesize’s reconciliation view to confirm the CyberHoot user counts now appear against your PSA quantities.
Note: Mapping in Gradient MSP is required for every synced tenant. Until a tenant is mapped, its user count is sent but the Sync Log lists it as “not mapped in Gradient MSP” and it is not reconciled.
4. Ongoing Management:
- New tenants you add in CyberHoot are created in Gradient MSP at the next nightly sync (or immediately with Sync Now). Map each new account in Synthesize once, as in step 3.
- User counts refresh automatically every night, so month-end reconciliation always reflects the users actually enrolled in CyberHoot.
- The Last Sync Time and Sync Log on the integration page show what happened during the most recent run, including any tenants that still need mapping.
5. Disconnecting Integration (If needed):
- On the CyberHoot Autopilot platform, navigate to Partner Dashboard > Integrations.
- Select Gradient MSP and click “Disconnect”, then Continue.
Disconnecting removes the integration settings from CyberHoot and sets the partner integration to inactive in Gradient MSP. No CyberHoot users or tenants are changed.
Note: You still need to disconnect the CyberHoot vendor integration inside Gradient MSP Synthesize to fully remove it there.
Alternative: connect from the Gradient side
Gradient also offers a CyberHoot V2 integration that is configured entirely in Synthesize using your CyberHoot API key and instance URL, with Gradient pulling the user counts instead of CyberHoot pushing them.
